Hi TC members and everyone else interested in community stewardship discussions, While trying to solve the conflicts puzzle for PTG room allocation I realized the TC did not request PTG meeting space. We are way past deadline: at this point we can probably still get half-a-day on Saturday afternoon (last day of PTG) if we are interested. We could try for a full day but that would mean reducing some other slots and/or generating extra conflicts, so I'd rather not. What do you think ? Do we want that slot ? Will half a day be enough ? -- Thierry Carrez (ttx)
I think I will need to leave approximately 3:30-4 PM for a flight out. I suspect others are in similar boats in terms of departure times. I guess it could work if we have a shot specific list of topics? -Julia On Fri, Mar 8, 2019 at 5:41 AM Thierry Carrez <thierry@openstack.org> wrote:

In the past, the last day has been a good time to hold it and half a day has not been enough. I suppose things are different this time because we also have the Forum, and the PTG is shorter overall so everybody has to compress. So I guess we should take what we can get, but I'm concerned that the TC won't get enough face-to-face time considering this is our only in-person meeting for 6 months. - ZB

I would have the same worry - especially as people are going to be flying out that evening / afternoon, so we will probably miss some of the TC or other community members who are interested in attending. - Graham

I feel we should book a half day slot at least. I am not sure if half day is not enough as we do not have list of topic we want to cover as part of PTG. -gmann

Seems like the first half of Saturday could work out. Keeping in mind that we're already compressing what was normally a 5-day PTG into 3, all teams are having to compromise some on allotted time. Between the leadership meeting the prior Sunday and various Forum sessions, we'll see each other and have other opportunities to push TC initiatives anyway. I feel like we can make it viable. -- Jeremy Stanley

Agreed. Half day + ad-hoc conversations. It is better than nothing :) gmann is right: We need a well prepared agenda beforehand. Regards, JP

We've been working on scheduling -- there is actually room for the full day on Saturday... The trick is that Saturday morning there is conflict with the 1st contact SIG, where a significant portion of TC members are also active. Since there is so much overlap between the two groups and it's hard at this point to prioritize discussions, maybe we could book the full day for a "Stewardship" room (1st Contact SIG + TC) and then build the agenda for it based on topic importance and who stays until when during the day ? If we prefer to keep things separate, we could still schedule the 1st Contact SIG on Thursday morning, but there it would conflict with a lot of other SIGs (and the Docs team), so I bet attendance would be lower. -- Thierry Carrez (ttx)
Hi everyone: Have we come up with some sort of consensus on this? I think it would be good to come up with a final answer to help the foundation staff schedule time. If it helps, maybe we should schedule time to discuss this? Thanks, Mohammed On Mon, Mar 11, 2019 at 4:46 AM Thierry Carrez <thierry@openstack.org> wrote:

In the current scheduling strawman (which we should be able to publish early this week), we can give the TC the full day on Saturday (without conflicting with the 1st-contact SIG). That way we can start on Saturday morning and stop when we run out of energy. -- Thierry Carrez (ttx)

Thanks for helping out in getting this setup, Thierry, and pass my thanks to the foundation planning staff as well :) I'd like to ask someone to take up the responsibility of getting the etherpads ready with our topics so we can start organizing that. It's a bit confusing, the fact we have a forum *and* PTG back-to-back. Is there a community or TC member who would to get the basic initial planning done?
