Message-ID: <4D49262C-3060-42D8-89F9-B2E1EA571481@openstack.org> Hi everyone, Thank you so much for volunteering to be on the Programming Committee for the virtual Open Infrastructure Summit—we’re looking forward to working with you! The CFP for the Open Infrastructure Summit is now closed, and soon we’ll be kicking off round one of the review process, so make sure to look out for that email on this mailing list. First, I wanted to send you all a list of your fellow Programming Committee members so you can all communicate as a team. Please find names and emails of each Track's Programming Committee in the attached spreadsheet. The next email kicking off round one will have many more details and instructions, but let us know if you have any questions in the meantime. Same I ran into 2 if the proposed panels, as either we did not have a way to adress them or needed permission from Vendors to authorise the speaker's to endorse submission. I asked them to use my name and which they can  sub later once speaker beauro addresses some of these issues. Hope the Program commitees of different track will allow some of this to be included on in the pool for rating once these are added beyond deadline as the date showed up as 10th  11.59 or 11th xx.xx on cfp screens depending on their locations. 1. Jimmy,  Can speaker beauro address those asap. 2. Ashley can you provide us zoom links to help organize track meetings. 3. If we need to transfer any proposals across the tracks for filing in incorrect bucket, can we take that up as first task, rather than playing ping pong and disappointing the proposed cfps. We will do the same at the last round too, but knowing how to accommodate some very deserving cfps etc or ask the proposers to reorient some to be able to get those in. 4. Before you begin, please take the time to watch this tutorial video . You have between now and this Tuesday, August 11 at 11:59pm PT to complete this part. See the timeline below for reference. During this time we ask you to: Review the submissions within your specific track and identify any that need to be moved into another track category by clicking the “Suggest Category Change” button. View the full list of tracks here . Flag any talks that are obvious test submissions and need to be removed (in addition to duplicates). Note this by making a comment and sending an email to speakersupport at openstack.org with a link to the presentation. Include comments on any sessions that you want to flag for more discussion later during the selection process. *ONLY* Programming Committee members will be able to view your comments. Speakers and submitters cannot see your comments. Please watch this tutorial video to learn how to use the Track Chair tool. It’s time for you to select the talks that will be included on the final Summit schedule. You have between now and Friday, August 28 at 11:59pm PT (August 29 at 6:59 UTC) to make your Team Selections. FIRST - WATCH THE TUTORIAL VIDEO Before you do anything else, watch the Part Two tutorial video . The video explains how to review and add talks to your personal list and team list. Under the Team Selections tab, you can drag and drop the presentations into your order of preference. We'll consider the presentations at the top of the list to be the most important to include in the final Summit agenda. Each Track has a predetermined amount of sessions and once this quantity has been fulfilled, these sessions will be included in the final agenda. Each Track will also have a set number of alternates. If a presentation is selected as an alternate, they will have the opportunity to present their session, but we want to consider quality over having an alternate for the sake of filling time. So, we’ll offer them the opportunity to record their talk later and we’ll post it on our YouTube channel. However, if a full breakout session speaker cannot present, alternates will be selected based on the order in the Team List within the Track Chair tool. This is in an effort to ensure that alternate presentations are recorded and speakers are available in the event they are needed. Please note that everyone on your team shares the Team Selections column. Any changes that you make will override the selections/order choices that your colleagues may have made in this column. Therefore, before making your final session selections inside the Team Selections tab––we recommend that you and your fellow Programming Committee members schedule time together via Zoom, Google Hangout, IRC, or your platform of choice to discuss the final team selections. Once you have finalized your selections as a team, add them into the Team Selections tab. The Team Selections tab must be completed no later than Friday, August 28 at 11:59pm PT (August 29 at 6:59 UTC). As you make your Team Selections, please work to include a diverse set of sessions, companies and speakers. Please do NOT set expectations with any speakers ranked in your category. The Foundation staff will send the speaker notifications the week of September 7. COMBINING SESSIONS OR CREATING NEW PANELS You may want to combine sessions into panels or other formats, especially if there are multiple submissions about the same topic. However we request that you try to limit the number of new panels to no more than 40% of the selected sessions in your Track. If you are creating a new panel, please try to include a diverse set of speakers for the presentation. In order to combine talks or create new panels please follow these instructions and email the requested information to speakersupport at openstack.org . COMMUNICATING WITH YOUR FELLOW PROGRAMMING COMMITTEE MEMBERS You have the ability to contact your fellow Programming Committee members directly via their contact information within the tool (by clicking on their name to send an email), but we also encourage you to make use of this mailing list to initiate or continue the discussion with all programming committees. Reminder––please make all final selections in the tool no later than Friday, August 28 at 11:59pm PT (August 29 at 6:59 UTC). Should you have any queries or issues along the way, please notify us at speakersupport at openstack.org . New for virtual Summit: Please note the number below is the maximum number of presentations you can select for your Track. We want to prioritize quality over quantity, so you are not required to fill all of those slots. On the other hand, if your Track has more qualified talks than the maximum amount allowed, you can designate some sessions as alternates and they will still have the opportunity to record a session. To fit the new virtual format, sessions will be pre-recorded, and speakers should be prepared to be present on the event platform during their presentation for potential live chat Q&A. Also, if you’re working outside the tool, the counts per track are the following. These counts are flexible, so if there are too many amazing presentations, please let us know and we will do our best to accommodate: Max Slots Alternates 5G, NFV & Edge 15 3 AI, Machine Learning, HPC 8 2 CI/CD 6 2 Container Infrastructure 15 3 Getting Started 8 2 Hands-on Workshops 5 2 Open Development 6 2 Private & Hybrid Cloud 22 4 Public Cloud 6 2 Security 6 2 Cheers, Ashlee & Jimmy Ashlee Ferguson Community & Events Coordinator OpenStack Foundation -------------- next part -------------- An HTML attachment was scrubbed... Matt On Tue, 18 Aug 2020 at 20:42, Ashlee Ferguson wrote: Hi everyone, Thank you for all of your time and hard work the past couple of weeks! It’s time for you to select the talks that will be included on the final Summit schedule. You have between now and Friday, August 28 at 11:59pm PT (August 29 at 6:59 UTC) to make your Team Selections. FIRST - WATCH THE TUTORIAL VIDEO Before you do anything else, watch the Part Two tutorial video. In order to combine talks or create new panels please follow these instructions and email the requested information to speakersupport at openstack.org. Should you have any queries or issues along the way, please notify us at speakersupport at openstack.org. These counts are flexible, so if there are too many amazing presentations, please let us know and we will do our best to accommodate: Max Slots Alternates 5G, NFV & Edge 15 3 AI, Machine Learning, HPC 8 2 CI/CD 6 2 Container Infrastructure 15 3 Getting Started 8 2 Hands-on Workshops 5 2 Open Development 6 2 Private & Hybrid Cloud 22 4 Public Cloud 6 2 Security 6 2 Cheers, Ashlee & Jimmy Ashlee Ferguson Community & Events Coordinator OpenStack Foundation _______________________________________________ Openstack-track-chairs mailing list Openstack-track-chairs at lists.openstack.org http://lists.openstack.org/cgi-bin/mailman/listinfo/openstack-track-chairs -------------- next part -------------- An HTML attachment was scrubbed... There are presentations that got 4 votes. I propose to move forward to the 'team' list those presentations. I also suggested to move to the team selection the presentations that got 3 votes. If my math is correct there are 4 presentations with 4 votes each and there are 3 presentations with 3 votes each. That is a total of 7 presentations as a team selection. Pretty much what we need to define is presentation number 8, and the ALT presentations. I guess we should pick from those that got 2 votes to be fair and respectful for everyone's votes. What do you think? Agree? I so, I can volunteer to move presentations to the team list that have four and three votes. Maybe we can reach an agreement about the rest of presentations offline (email). If, of course, everyones agrees to the idea proposed above. Popular voting is an indicator but should not override experts' opinions. Thus, I suggest we maintain a healthy balance. Also, I reach out to some authors who submitted obsolete materials that have previously been presented, they have not yet responded, this I find dishonest. Even if they got a popular vote of 100%. If we take these points into considerations, then I am OK with your suggestion. We just have to be represented the community with respect and honesty. If there is enough evidence or they do not reply we may just remove them from the team selection. In terms of balance I do believe that the 7 presentations are representative enough. Unless someone thinks otherwise. We can also fill out the three spaces with topics to keep the balance and not necessarily have enough votes from us. However, I think we may discuss this later on.
